Founded in 1941, the NSS is the largest membership organization dedicated to caves & caving. Composed of over 8,000 members and 250+ local chapters - known as grottos - we connect cavers so they can explore, study and conserve caves worldwide.

ABOUT THE POSITION:

The National Speleological Society (NSS) is looking for a Membership Community Manager to foster a sense of community within the NSS for its members and volunteers. The successful candidate will lead daily NSS membership operations (including the NSS Bookstore), develop and implement recruitment and retention strategies to ensure membership satisfaction and engagement, and manage member services and volunteer programs.

The full-time position reports directly to the Executive Director and is classified as non-exempt (paid hourly, eligible for overtime). The work location is at the NSS Headquarters in Huntsville, Alabama.

GENERAL JOB RESPONSIBILITIES:

Member Relations and Services (50%):

  • Serve as the primary person responsible for management and maintenance of the Society’s membership database.
  • Ensure membership record accuracy and serve as the primary point of contact for member inquiries.
  • Communicate with members regularly and promptly, including but not limited to, new member welcome information, renewal reminders, anniversary letters, and membership campaigns.
  • Provide timely reports to analyze membership trends and provide informed feedback for strategic decisions about membership services and programs.
  • Manage and promote the Society’s Bookstore within the Facilities Division at the NSS Headquarters by overseeing daily retail operations (e.g., merchandise sales, customer service, inventory management), sales trends, vendor sourcing and communication, and provide timely sales and inventory reports.
  • Assist the Membership Division and Communication Division with the curation and creation of physical and digital membership resources, including website content, documents and brochures, and Society merchandise.
  • Work with the NSS Board of Governors and Executive Director to assist with planned giving campaigns and identify and recognize Society donors and benefactors.

  • Volunteer Coordination (40%):
  • Lead the NSS Volunteer Coordination Team by maintaining accurate and up-to-date volunteer records, managing a volunteer database, and serving as the point of contact for volunteers.
  • Recruit, coordinate, train, and empower volunteers within the Volunteer Coordination Team.
  • Work with the Executive Director and Division Heads to identify and prioritize key volunteer vacancies within the NSS and develop strategies to recruit for these roles.
  • Screen and interview potential volunteers, and develop and deliver training programs to onboard volunteers.
  • Provide ongoing support, motivation, and guidance to volunteers that will create a positive and inclusive community, such as through managing activities, scheduling, and maintaining equitable workload distributions.
  • Support local volunteer activities at or near the NSS Headquarters.
  • Participate in volunteer and public engagement, outreach, and educational activities for the NSS, as needed.

  • Other Operational Needs (10%):
  • Gather member and volunteer engagement and participation feedback and track effectiveness outcomes.
  • Manage and file relevant membership and volunteer paperwork records at NSS Headquarters.
  • Travel to off-site NSS and caver-centric events throughout the year to engage with members and volunteers.
  • Represent the NSS to members and the public through speaking engagements, as needed.
  • Perform other duties and projects, as assigned, at the NSS Headquarters.
  • EXPERIENCE & QUALIFICATIONS:

  • Proven professional experience in community engagement, human resources, or nonprofit and/or retail services, with a minimum of 3–5 years of experience preferred.
  • Knowledgeable about human resources, customer service, and volunteerism.
  • Excellent organizational, communication (written and verbal), and budgeting skills.
  • Strong project management skills needed to juggle multiple priorities.
  • Creative, innovative self-starter who can work independently, but who can also be an inspiring and personable team builder with strong collaborative abilities.
  • Passion for the NSS’s mission and proponent of responsible fellowship among cavers.
  • Adaptable, dependable, and composed under pressure.
  • Proficient with human resource, financial, membership, and volunteer management software, design tools, and Microsoft Office and/or GoogleSuite products.
  • Capacity to work long hours and weekends during events, as needed.
